This page explains how onemynd handles data. It describes the current product; it does not promise that cloud providers have the same practices as local models.
Who operates onemynd
onemynd operates onemynd. This policy covers the onemynd website, account service, and desktop app. It does not cover third-party services you access separately.
Local sessions
Meeting history, transcripts, typed questions, suggested answers, and uploaded background files are stored on your device. Local Whisper and Gemma process their inputs on your device after their models are downloaded. Choosing a local model does not automatically upload your audio to a cloud model.
Cloud models
When you choose cloud transcription, audio from the inputs you select is sent for recognition, along with recognition hints from your glossary, profile name, and meeting context, such as participant names and terminology. Cloud answers send the question and the context you choose, which can include conversation text, background files, or a screenshot when screen context is enabled. The selected provider can be OpenAI, Anthropic, Google, or NVIDIA. Requests using onemynd credits pass through onemynd’s cloud services before reaching the provider. The provider’s terms and data practices apply to its processing.
Accounts and payments
Supabase stores account identity, subscription access, license activations, and usage records. Stripe handles payments and payment methods; onemynd does not store full card numbers. Resend delivers transactional emails, including verification codes and license confirmations. Our website and API hosting providers process network requests, IP addresses, and operational logs needed to deliver and secure the service.
Usage and administration
Cloud usage records include the account, model, time, and credits used, not conversation content. Administrators can review account access, payment status, device names, and support-related audit records. Provider keys and full license keys are not shown in the administrator account list.
Your own provider keys
If you enable BYOK for cloud answers, your provider key is encrypted using macOS-backed secure storage on your Mac. Requests go directly to that provider and are billed by it. Removing the key from onemynd does not revoke it at your provider; revoke it there if it was exposed.
Cookies and abuse prevention
The website uses essential authentication cookies to keep you signed in. This release does not include advertising cookies or third-party advertising trackers. Request limits use temporary counters derived from a protected form of your network address. Hosting providers may separately retain security and access logs. Blocking authentication cookies can prevent account features from working.
When you begin account deletion on the website, your browser saves a deletion reference and a private recovery token so you can retry or check the result after sign-in is removed. These remain in that browser until you clear the deletion receipt or the browser’s site data.
Permissions and consent
You control microphone, system audio, screen, and calendar permissions in the app and your operating system. Calendar access can add meeting context and attendees. Tell other participants when needed and obtain the permissions or consent required for your meeting and location.
How data is used and shared
We use account and usage information to provide access, fulfill purchases, prevent abuse, respond to support requests, and maintain the service. We do not sell your conversation content or use it for advertising. Cloud requests are processed under each provider’s applicable terms; retention and training policies can differ by provider and account configuration. Do not send content to a cloud provider unless you are permitted to share it.
Retention and deletion
You can delete local sessions in the desktop app. You can also choose Delete account in your account settings on the website or in the desktop app and confirm the permanent change. Account deletion removes your sign-in identity and revokes account and license access. A disabled account record and billing, purchase, usage, deletion, and security audit records are retained for accounting, disputes, and legal obligations. Account deletion does not automatically erase those retained records. Contact support with questions or requests concerning them.
Before deleting your account, cancel subscription renewal through Manage billing and wait until the subscription has ended. Resolve open or processing checkouts, scheduled subscriptions, and outstanding invoices first. Account deletion does not cancel billing or issue a refund. If deletion is interrupted, access may already be disabled while removal of your sign-in is still pending. Retry the original deletion request or contact support; a pending request is not a confirmation that deletion has finished.
Deletion through the desktop app also removes saved sessions, transcripts, notes, custom modes, and reference files on that Mac after remote deletion is confirmed. Website account deletion does not erase local files on your devices. Neither method remotely erases files on other devices, exported copies, or data a cloud provider already received. Devices already offline may retain cached access until their next online check or its expiry. Uninstalling the app may leave its application data on your Mac.
Your privacy choices
You can choose local processing, stop capture, remove background files, revoke operating-system permissions, and delete local sessions. Depending on where you live, you may also have rights to access, correct, export, delete, restrict, or object to processing of your personal information, and to complain to your privacy regulator. Contact us to make a request. We may need to verify your identity before changing or disclosing account records.
International processing and changes
Our service providers may process information in countries other than yours, including the United States. The protections available may differ from those in your location. We will update this page when our practices change and provide additional notice of material changes where required. onemynd is intended for adults and is not directed to children.
